ANNOVA LLC (“Annova,” “we,” “us,” or “our”) operates annova.io and provides an AI phone-receptionist service for local home-services businesses. This Privacy Policy explains what information we collect, how we use and protect it, and the choices you have. It applies to annova.io and to the calls and messages handled by our service on behalf of the businesses we serve.

1. Information we collect

Contact and booking information you provide when you call a business that uses our service or book an appointment: your name, mobile phone number, service address, and details about the service you requested.

Call recordings and transcripts. Calls handled by our AI receptionist are recorded and transcribed to book your appointment, confirm details, and maintain an accurate record. You are informed that you are speaking with an AI assistant and that the call may be recorded at the start of the call.

Message records. Records of the appointment-related text messages we send you (for example, appointment confirmations) and your responses (such as STOP or HELP).

Website information. Basic technical and usage data collected when you visit annova.io (such as pages viewed and general device/browser information).

2. How we use information

To answer calls, book, confirm, reschedule, or cancel appointments, and route urgent or emergency calls appropriately.

To send you appointment-related text messages (see Section 4).

To operate, maintain, secure, and improve our service and to keep accurate business records.

To comply with legal obligations and enforce our agreements.

3. How we share information

We share information only as needed to run the service: Service providers (subprocessors) that power the phone, messaging, and scheduling functions, including our voice-AI, telephony, and CRM/calendar providers. These providers process information on our behalf under confidentiality and data-protection obligations and are not permitted to use it for their own purposes. The business you contacted: Your booking and contact details are shared with the home-services business you called so they can perform the service. Legal and safety: We may disclose information when required by law, to respond to lawful requests, or to protect the rights, safety, and property of any person. We do not sell your personal information, and we do not share it with third parties or affiliates for their own marketing or promotional purposes.

4. SMS / text messaging

When you book an appointment, our agent collects your mobile number and obtains your verbal consent, on the recorded call, to send you appointment-related text messages.

Message types: Appointment-related messages — appointment confirmations, reminders, follow-ups, and occasional review requests.

Message frequency: Varies per booking, based on your appointment activity.

Message and data rates may apply, depending on your mobile carrier and plan.

Opt-out: Reply STOP to any message to stop receiving texts. Help: Reply HELP for assistance.

Mobile opt-in and consent data are never shared or sold to third parties or affiliates for marketing or promotional purposes, and are not shared with any third party except the subprocessors that deliver the messages on our behalf.

5. Data retention

We keep information for as long as needed to provide the service, maintain accurate business and legal records, and comply with our obligations. Call recordings and message logs are retained for a reasonable period consistent with these purposes and applicable law, then deleted or de-identified.

6. Security

We use reasonable administrative, technical, and physical safeguards to protect information against unauthorized access, loss, or misuse. No method of transmission or storage is completely secure, but we work to protect your information and to limit access to those who need it.

7. Your choices and rights

Opt out of texts at any time by replying STOP. Access, correct, or delete the personal information we hold about you by contacting us using the details below. We will respond consistent with applicable law.

8. Children’s privacy

Our service is intended for adults arranging home-services appointments and is not directed to children. We do not knowingly collect personal information from children.

9. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version at annova.io/privacy and revise the effective date above.
